mBank ISO Conference Series 2026
Project: A series of expert ISO conferences for mBank corporate clients.
Location: Wrocław (AC Hotel by Marriott), Warsaw (Aula, mBank Tower), Kraków (Q Hotel Plus).
Client: Reequest Events for mBank S.A.
My scope of responsibility: a concept for a single service standard across three cities, venue selection and negotiations in Wrocław and Kraków, technical and AV production, breakfast and lunch catering, an online registration and reception system, selection and coordination of the hostess team, branding materials and visual identity for the series, intercity logistics, subcontractor coordination, on-site operational supervision on the day of every event, a report after each event and a summary report for the whole series.
Context and challenge
mBank entrusted us with organizing a series of expert conferences on ISO standards and their practical application in the organizations of the bank's corporate clients. The strategic goal of the series was to establish mBank as an advisory partner, not only a financing one: a partner that supports clients with knowledge, strategic direction and answers to the real challenges of their businesses, such as pressure on efficiency, the energy transition, technological resilience and the growing expectations of end customers.
The production challenge was to run a three-city operation in a short time window, in three different formats. Wrocław was an intimate event in the form of a business breakfast for a smaller group. Warsaw was a full-scale conference with lunch in the mBank Tower, with significant logistical constraints around access to the delivery area and the building's technical limits. Kraków matched Warsaw in scale, but with an open task of choosing a venue from scratch, one that met the standard of the bank's own headquarters. Despite the different formats, every meeting had to give attendees the same thing: the same quality of service and the tone of mBank as a strategic partner.
Concept
We designed the series around three pillars. The first: this is not a product event, it is an expert platform. The ISO topic was meant to speak in the voice of a partner, not a salesperson, and the whole attendee experience was built so that this tone could be felt from the moment of entry, through the content session, all the way to lunch or the networking coffee. The second pillar: logistical precision as a standard, not an attraction. A meeting of the bank's corporate clients has to be organized without surprises, so AV equipment, reception, catering and hostesses had to work flawlessly and invisibly. The third pillar, and at the same time our main creative challenge: one standard in three locations. Different scales, different times of day, different cities, yet identical service quality and an identical tone.
We matched the catering format to the character of each meeting. We designed the Wrocław breakfast as an intimate, networking-friendly start to the day, encouraging one-to-one conversations before the content part. The Warsaw and Kraków conferences were built as deeper formats with a closing lunch, leaving space for conversation after the Q&A session.
Production and logistics
Each event required separate pre-production and its own schedule, but all of them followed one standard.
The key elements of delivery included:
- selecting and contracting venues, including negotiating technical conditions and exclusive use of the rooms, with venues chosen after reviewing offers and carrying out site visits in Kraków and Wrocław;
- conference-standard AV: screens sized to each room, lecterns, two wireless microphones for hosting and the Q&A session, sound reinforcement, and technical rehearsals before every event;
- catering matched to the format: a business breakfast in Wrocław, a conference lunch with a coffee break in Warsaw and Kraków, in every case accommodating the dietary requirements reported by attendees at registration;
- an online registration and reception system with a smartphone app, a real-time attendance counter and a report for the client right after the event;
- a trained hostess team serving each event in uniform visual branding, with full procedural preparation;
- branding materials and signage in a consistent visual style across the whole series: reception desk, directional signs, lectern branding and a key visual on screen before and after the events;
- full coordination with the mBank team responsible for content, attendance and approval of graphic materials before production.
Coordination
The series required managing a dozen or so subcontractors in parallel across three cities: conference venues, technical and AV companies, catering providers, print shops, the hostess team, reception system providers and intercity logistics, including passenger and freight transport between cities. Each meeting had its own schedule, its own guest list and its own venue requirements, yet all of them had to maintain one consistent mBank standard, from the first site visit, through the moment the first guest walks up to reception, to the last conversation over lunch. All three conferences closed on schedule, without disruption, within the terms of the contract.
