B2B Conference and Gala, 11th Edition

Project: ORLEN Gas Meeting #11, a one-day B2B conference.

My scope of responsibility: creative concept, key visual, production, AV production, set design, venue and hotel coordination, attendee logistics, artistic program, catering, operational supervision.

Context and challenge

One of the largest players in the Polish fuel industry entrusted us with organizing the anniversary, eleventh edition of its flagship recurring event. The scale of the undertaking, the history of the event and the prestige of the organizer meant one thing: the bar was set very high and the margin for error was zero.

The task was to create a cohesive experience combining the business and entertainment parts, so that neither world dominated the other and together they formed a well-thought-out dramaturgy for the evening. Nearly 200 guests, an exceptional venue, one evening.

Creative concept

The central theme became energy and transformation, values close to the organizer's DNA, but also ideas that naturally linked the conference message with the emotional side of the event. The key visual we developed ran through every attendee touchpoint: from invitations and digital signage, through animated bumpers and loops on the LED wall, to a jingle identifying the individual blocks of the program. Dynamic lighting compositions and contrasting color accents turned the theatrical interior of Forteca Kręglickich into a space that spoke the language of the brand, even before anyone took the stage.

Production and set design

We designed the complete set design and the event flow from scratch, taking into account both the technical requirements of the conference and the mood of the evening banquet. Key elements of the project:

Logistics and coordination

Our full-service support also covered complete attendee logistics in cooperation with the Verte Autograph Collection hotel: coordinating accommodation, planning arrivals and departures, and dedicated shuttle buses for smooth guest transfers. We provided catering at a level matching the rank of the event and the client's expectations.
