Conference and Evening Gala
Project: A business event for a financial sector client, an evening gala and a press meeting.
Location: Frankfurt am Main, Germany.
Client: Reequest Events for an international financial company.
My scope of responsibility: supervision of the creative concept, the key visual and the creation of graphic materials, venue selection and negotiations, organization of the press meeting at the branch office, organization of the official business dinner, selection and coordination of the artist (saxophonist), hostess selection, selection and purchase of gifts, floral decorations, guest logistics (flights, transfers, accommodation in two hotels), transport of branding materials from Warsaw, photographer, a program for VIP guests, site visit, coordination of subcontractors in two countries, coordination of external co-funding, and operational supervision.
Context and challenge
The event was organized to mark an important stage in the client's growth on the German market. Its goal was to underline the importance of the business relationships built between partners from Poland and Germany and to create a space for meetings of business representatives, the media and institutions supporting economic cooperation.
The project required managing several areas at once. The first was international coordination: all preparations were run from Warsaw in cooperation with local suppliers in Germany. The second challenge was combining two separate event formats held on the same day: an intimate press meeting and an evening business gala for a wider circle of guests. The third was communicating the brand appropriately in one of Europe's most important financial centers, balancing the international character of the organization with its origins.
Creative concept
The axis of the project became the idea of trust and long-term business relationships, present both in the visual communication and in the event script. All materials were prepared in parallel in Polish and German, ensuring full consistency of communication for both audiences.
The key visual was based on the Frankfurt skyline in an elegant, business aesthetic. The guiding motif appeared at every touchpoint with attendees, from invitations and event materials to visual identity elements during the gala.
Gifts for guests were also an important element. Besides personalized sweet gifts, we prepared carefully selected publications referring to intercultural dialogue and international cooperation. As a result, the gifts were a natural extension of the event's narrative, not just a standard corporate gadget.
Production and program
The press meeting took place at the headquarters of the client's German branch, located in one of Frankfurt's most recognizable business buildings. The space was adapted for the event by renting event furniture and organizing catering that included lunch, coffee breaks and full waiter service.
The evening business gala was held in a restaurant offering exclusive use and complete privacy of the space. The program included: a welcome aperitif, a multi-course cocktail dinner with flying menu and a buffet, an open bar throughout the event, a live saxophone performance, hosting by a bilingual moderator (PL/DE), and a gift presentation built into the evening's script.
The key elements of delivery
- Design of the key visual and electronic invitations in two language versions;
- Catering in two locations, for two separate event formats;
- Organization of flights, accommodation and transfers for attendees from Poland and Germany;
- Rental of furniture and technical equipment;
- Reception service;
- Floral decorations and event set design;
- Music and event hosting;
- Photography;
- Preparation and purchase of gifts for guests;
- Transport of branding materials from Warsaw to Frankfurt;
- An additional program for VIP guests, including a guided city tour;
- Coordination of the external co-funding obtained to support the project.
Logistics and coordination
Delivery required managing a group of several dozen guests moving between the airport, hotels, the client's headquarters and the gala venue. An individual logistics plan covering flights, transfers and accommodation was prepared for each attendee.
An additional challenge was working with new subcontractors on the German market and transporting branding materials from Poland. Thanks to a detailed site visit and carefully planned pre-production, all activities were delivered on schedule and without operational disruption.
Result
The result was a multidimensional event combining communication, PR and relationship-building functions. The project successfully brought together a media meeting, image-building activities and business networking, and at the same time demonstrated the ability to deliver complex international projects involving many partners, two countries and different groups of stakeholders.
